The security systems in placed include no floppy, CD, or USB port in the staff computers. Internet access to the computers is restricted to the extent that staff can only view HTML pages on their computers and that too limited to some pre-specified transcription related pages only. Staff is not permitted to upload or download any of the files on their respective PCs and also the hardware lock is in place. Besides these we have installed various networking tools, which let us know the work log of the system PCs including time frames.
Also, no chatting softwares like YAHOO, MSN, ICQ installed on any of the systems to prevent security of the information. The social networking sites are strictly prohibited. Carrying of any storing devices like CDs, Flash drives, etc is not also permitted inside the premise.
In nutshell, no staff personnel are allowed to copy or upload any of the files in the premise. There are also restrictions in taking the printouts and supervisor permission is solicited to take any printouts. There are also strict terms and conditions and non-disclosure agreements duly signed by the staff for maintaining the security.
Last but not the least, every square centimeter of our premise is covered by CCTVs and cell phones are also prohibited in the production studio.

The files are transfer via 128 secure connection. Our storage application is hosted at the SAVVIS Internet Data Centers in Irvine, CA and El Segundo, CA. The Data Centers provides the physical environment necessary to keep the servers up and running 24 hours a day, 7 days a week. These world-class facilities are custom designed with raised floors, HVAC temperature control systems with separate cooling zones, and seismically braced racks. They offer the widest range of physical security features, including state-of-the-art smoke detection and fire suppression systems, motion sensors, and 24x7 secured access, as well as video camera surveillance and security breach alarms. Daily backups of user data for up to 8 days are maintained online to quickly recover from any software/hardware failures.
All files are rigorously segregated; there is no intermingling of one account's files with any others on the servers used to host the data. Our applications have 128 bit SSL encryption enabled by default.
Our storage service provider gives the Microsoft CryptoAPI for implementing Encryption of files on storage, and varies from 56 bit to 128 bit encryption based on the platform.

Generally there are two ways of generating voice files. One is using our toll free dictation system and the second is using the Hand-held digital devices. Both the systems are easy to use and recommended, but the toll free dictation system has a nominal higher operating cost as compared to hand held device. Below is the brief description of how both the options works:
In our toll free transcription services, you will call our 800, from anywhere in the continental United States, enter a four digit user ID and then a four digit pin number, which will be given to you initially. Then we offer an option for a Report Type or Report Identifier. This will be followed by a beep indicating that you can begin recording. When finished dictating you hang up the phone. Our dictation system is then encrypted with a 128-bit encryption and sent over to us via the Internet by email or FTP site. Our whole transfer is secure adhering HIPAA norms. We ensure to provide reliable transcription services.
The second option is to use hand held digital recorders to dictate the dictations (most commonly used method). Through recorders you can dictate the reports of your patients then you or someone from your office staff can transfer the dictations from digital recorders to computer, which can be uploaded to our provided secure HIPAA compliant system. It is a real easy job and is more or less like a drag and drop feature.
